## Turn paper records, referrals and forms into EMR data.

Referral letters arrive as PDFs and photos. Intake forms are filled in on paper. Lab reports come in from outside. Lens reads each document, pulls out the fields your EMR needs and puts them in front of your team to check before anything is saved.

## The pile clears before the day ends. Your team checks each record before it's saved.

Referral letters, intake forms and lab reports arrive as paper, PDFs and photos. Lens reads each one and pulls out the fields your EMR needs. Staff check them against the original and approve, and only then are they saved, so nobody spends the evening retyping.

## What clinics and hospitals use Lens for

### Referral letters to booked appointments
- For: Orthopaedic, ENT, eye and other specialist clinics, and physio practices
- Problem: Referral letters arrive by email, fax and photo. Someone has to read each one, create the patient and call them to book. Some are never booked.
- What Zeya does: Lens reads the letter (patient details, referring doctor, reason for referral) and prepares the record for your team to check. Once approved, Engine or Voice Agents contact the patient to book.

### Intake, medical-history and consent forms
- For: Aesthetics, dental and specialist clinics
- Problem: Patients fill in paper forms, and staff retype them into the EMR between appointments.
- What Zeya does: Lens turns scanned or photographed forms into EMR fields. Allergies and current medications go into their own fields so staff can see them at a glance. Signed consent forms are filed with the patient record.

### Outside lab and imaging reports
- For: Specialist clinics
- Problem: Reports from outside labs and imaging centres arrive as PDFs that someone has to match and file.
- What Zeya does: Lens matches each report to the right patient, extracts the key details and files it in the record. Your doctors still read and interpret every report.

### Claims and insurance documents
- For: Specialist clinics, hospitals and clinic groups
- Problem: Claims bounce back because a document or a field is missing.
- What Zeya does: Lens reads invoices, claim forms and supporting documents and flags what's missing before submission. Engine handles submission and follow-up.

### Back-scanning paper archives
- For: Clinics and hospitals moving from paper to EMR
- Problem: Years of patient history sit in paper charts that nobody can search.
- What Zeya does: Lens digitises paper charts in batches, indexes them by patient and date and adds them to your EMR, with your team reviewing the extracted fields.

### Vietnam's EMR deadline
- For: Clinics in Vietnam
- Problem: Under Circular 13/2025/TT-BYT, clinics and other non-hospital facilities must implement electronic medical records by 31 December 2026. Hospitals had until 30 September 2025.
- What Zeya does: Lens reads Vietnamese-language records and forms, so clinics can bring paper history into their EMR before the deadline. [Lens for Vietnam](/vn/lens/).

## How it works

Your dedicated team sets it up with you.

1. **Documents come in**: The way they do today: email, scans, uploads or photos.
2. **Lens reads and extracts**: It identifies the document type and pulls out the fields your EMR needs.
3. **Your team reviews**: Staff check the extracted fields against the original, correct anything and approve.
4. **Saved and acted on**: Approved data is written to your EMR through Digital Twin. The next step, such as a booking or a claim, can start automatically.

## Frequently asked questions

### Which documents can Lens read?

Referral letters, intake and consent forms, lab and imaging reports, invoices and claims documents, and archived paper charts, as scans, PDFs or photos. Send us a sample of your own documents and we'll show you the result in the demo.

### How accurate is it?

It depends on the quality and layout of the documents. That's why your team reviews the extracted fields before anything is saved. We test Lens on a sample of your documents before you start. In one deployment at a medical laboratory in Vietnam, the technology behind Lens read handwritten requisition forms with 82.3% field-level accuracy before human review. [How we built and measured it](/resources/blog/lab-intake-automated-on-site/).

### Can Lens run on site?

Yes. On-site deployment is a standard option: Lens runs on hardware inside your clinic, hospital or laboratory, so documents are processed without leaving your premises. [See an on-site deployment](/resources/blog/lab-intake-automated-on-site/). If you'd rather Zeya hosts it: Data is hosted in Singapore, Vietnam, and Australia. Hosting in other regions is available on request.

### Does Lens work in Vietnamese?

Yes. Lens reads Vietnamese-language records and forms. See [Lens for Vietnam](/vn/lens/) for the 31 December 2026 EMR deadline.

### Does Lens interpret medical content?

No. Lens extracts and files information so your team doesn't have to retype it. Zeya does not diagnose; your clinicians read and interpret every report.

### Is Lens live with clinics today?

Yes. All 8 modules of the Zeya platform, including Lens, have live customers.

### How much does it cost?

Pricing depends on document volume, modules and number of locations, and is shared after a short qualification chat. [Get pricing](/get-pricing/).
